Terms and Conditions

General Rules for Exhibitors:

  • Engineering students pursuing their bachelor’s degree are eligible to compete. EED 2017 will open its door to all graduation and non-graduation projects to apply.
  • Exclusively for this year, the competition will open its doors to Young Professionals Engineers; Young Professionals are the graduates of the last 15 years.
  • There is a maximum of 10 members per project team, ( 3 will stand in the project’s booth at any time).
  • Each project should have a single contact person who should read our instructions carefully before starting the registration process in order to avoid any future problems. The contact person is responsible for registering the project and adding all of his/her team members’ information.
  • You can only submit your application once. Multiple submissions will result in permanently blacklisting your project from joining EED.
  • The Registration process has three phases:
  1. The Registration phase, where each team must fill in the registration form till its end by completing the project’s info and answering all the questions related to the early evaluation.
  2. The Reviewing phase, which includes the reviewing and judgment of all the registered projects depending on their answers on the early evaluation questions, so be careful.
  3. The Payment phase, where only accepted projects will be informed to join.
  • During the project’s reviewing, some projects may be reclassified if they were not in the right category, this occurs after the team’s approval.
  • After filtering the projects, and in order to give the opportunity to as many projects to exhibit in EED, the projects will be classified into two categories: Accepted and Waiting List only.
  • Exclusively for this year in EED, we will have a newly added competition to our main event called the Entrepreneurship Competition, please follow our social media channels for more info.
  • The competition is open only for EED projects and it's totally optional and free for them.
  • The competition has two conditions to accept projects,
  1. The project must pass the reviewing and payment phases of EED Young Professionals and Under Graduate competition from their first stage, no waiting list projects will be contacted.
  2. The project must pass the reviewing of the Entrepreneurship competition.
  • A separate email will be sent for notifying the projects with the reviewing result of the Entrepreneurship competition.
  • Disqualifying from joining the Entrepreneurship Competition doesn't mean that your project is out of EED, your project can still compete in the Young Professionals and Under Graduate Competition.
  • Participants are not allowed to show their affiliation [University name] on their booths or as a part of their presentation during judging sessions.
  • Note that the project plan must be fully executed by the time of the final judging rounds in EED. Failing to complete the project plan will cause negative scoring during the final judging rounds.
  • Projects are to be reviewed by EED competitions team on Day 0 to assure the continuity of project plan.
  • If a minimum number of projects is not reached in each category, the accepted projects can only exhibit their projects without further consideration for judging tours.
  • In case that any competition wasn’t considered for technical judging, the projects listed at this competition can withdraw from participation in EED if they want, and they will be fully refunded.
  • An acceptance email will be sent to all qualified projects from the reviewing phase with the full payment details within the notification of acceptance period that will be announced later, so please check your emails regularly.
  • Kindly note that if the project passed its payment period, it will be rejected from exhibiting in EED 2017.
  • We will start contacting the waiting list projects by reviewing order for payment if the exhibition hall didn't reach its maximum capacity.
  • After reaching the maximum capacity for the exhibition hall, a rejection email will be sent to the waiting list projects whom we didn’t contact and we totally welcome them as visitors in EED 2017.
  • Payment of the fees will be through money transfer to our provided bank account which will be sent to all accepted projects after the reviewing phase, this is the only way to pay your fees. Please do NOT pay the fees to anyone.
  • If the fees transferred are more than the registration fees, you will be contacted later for refund.
  • If the fees are not paid within the allowed days, which will be announced later, your application will be discarded and you won’t be able to register again as an exhibitor for EED 2017.
  • No modification will be possible after the closing of the whole EED projects registration phase, so be careful when filling in your data.
  • In case of refund, the project’s team must send to reg@eed.eg a bank account of one of the team members, and they must provide a statement from the bank to prove this, or they are welcomed to visit us in EED to receive their money.
  • No refund is possible for teams who informed us with their withdrawal from the competition after the closing of the whole EED projects registration phase.
  • No refund is possible for teams who informed us with their extra item/s cancellation after the closing of the whole EED projects registration phase.
  • Please make sure to receive a cash payment receipt from the bank to prove your payment.
  • After receiving the acceptance mail and paying the fees, you'll have to upload a clear scanned copy (via a Scanner, not a Camera) of the cash payment receipt to a unique link for your project that will be sent to your email.
  • Bring the cash payment receipt with you on the day of the event.
  • We will send a payment confirmation mail within a week from receiving the fees after checking your receipt and our bank account status.
  • EED will offer a free accommodation for only 1 team member per project. This will be valid for those who are participating from universities located outside the greater Cairo region (Cairo, Giza, Qalyubiyah, Helwan and 6th of October).
  • We provide only a lunch meal for only one member per team each day.

  • Fees of basic registration = 400 L.E
  • Your project must fit the basic booth space or you’re kindly asked to edit your registration within the allowed days and choose bigger booth space which will charge you additional fees. Otherwise, your project will be eliminated from the competition.
  • The organizing team is not responsible if your project did not fit the exhibition space reserved for you.
  • Additional items are available upon request:
  • Extra chair (60 EGP each).
  • Extra table (150 EGP each).
  • Extra accommodation (300 EGP/person).
  • Extra three-phase power outlet (450 EGP each).
  • Extra meal for one day (50 EGP each).
  • Extra (1m2) exhibition space (90 EGP each).

 

  • All demonstrations must be done within the boundaries of the finalist booth.
  • Certificates of attendance will be sent as a softcopy to the exhibitors who attended the EED exhibition in person, we will Not provide any printed copies later.
  • Any project that violates our instructions, rules or regulations will be eliminated from the competition.
  • The information and materials contained in these pages and the terms and conditions are subjected to change.

 

Special Notes:

  • We do not supply electrical devices (PCs, Monitors, Accessories ….... etc.).
  • Accommodation places will be announced later.
  • In some urgent cases, EED core team may need to change the rules without returning to the exhibitors.
  • No political activities, or sharing any kind of promoting materials will be allowed.
  • You won't be allowed to enter a session hall with your project prototype.
  • Due to the huge number of Exhibitors and Visitors, we expect to having waiting queues for (Sessions, Registration, etc.), and we expect your help and cooperation.
  • The transportation from and to the hotels for those who have an accommodation will have strict time, and you must stick to it.
  • We are volunteers in a non-profit organization; your cooperation is much appreciated.

  • The project must have a defined task that serves an industrial field/s. Any basic-level or trivial projects will be rejected.
